Google Workspace Shared Inbox: Setup Guide
Collaborative inbox features for Google teams
Google Workspace offers several ways to share email access across your team — from Google Groups Collaborative Inbox to delegated access and shared drives. This guide covers each method, when to use it, and how to set it up.
Method 1: Google Groups Collaborative Inbox

Best for: Teams that need a shared email address (support@, info@) with basic assignment and status tracking.
Method 2: Delegated Access
Delegated access lets one or more people read and send email on behalf of another Gmail account without sharing the password.
Setup
- The account owner goes to Gmail Settings → Accounts tab.
- Under Grant access to your account, click Add another account.
- Enter the delegate's email address.
- The delegate receives a confirmation email and accepts.
- The delegated inbox appears in the delegate's Gmail profile switcher.
Best for: Executive assistants, small teams sharing a single account, temporary access during leave.
Limitations: Maximum 25 delegates per account. No assignment or status tracking. All delegates see the same inbox without differentiation.
Method 3: Google Workspace Admin-Managed Groups
Google Workspace admins can create and configure groups with more control than standard Google Groups:
- Go to admin.google.com → Directory → Groups.
- Click Create group.
- Configure the group email, name, and description.
- Set Access type and posting permissions.
- Add members and set their roles (owner, manager, member).
- Enable Collaborative Inbox features in group settings.
Admin advantages: Centralized management, enforce naming conventions, control who can create groups, set organization-wide policies.
Comparing Google Workspace Methods
- Collaborative Inbox: Best feature set for team email. Assignment, status tracking, tagging. But clunky UI.
- Delegated Access: Simplest setup. Good for 1-2 people. No team features.
- Admin Groups: Same as Collaborative Inbox but with admin control and policy enforcement.
Limitations of Google Workspace Shared Inboxes
- No collision detection across any method
- No internal notes or private team comments
- No automation or AI features
- No analytics or reporting on response times
- Google Groups UI is not designed as a primary email interface
- No native mobile app for Collaborative Inbox
When to Use a Dedicated Tool Instead
Google Workspace methods work for small teams with low volume. Upgrade to dedicated shared inbox software when you need assignment automation, collision detection, analytics, or AI-powered features.
