Gmail Collaborative Inbox (Google Groups)

Outlook Shared Mailbox (Microsoft 365)

What you get: Shared access, send-as capability, 50 GB storage, calendar sharing.

What you do not get: Assignment, collision detection, internal notes, automation, analytics.

Google Workspace Delegated Access

What you get: Full inbox access, send-as capability.

What you do not get: Everything else — no assignment, no tracking, no collaboration features.

Shared Password (Not Recommended)

Some teams share login credentials for a single email account. This is a security risk and should be avoided. It violates terms of service for most email providers, creates audit trail issues, and provides zero collaboration features.

Free Plans from Paid Tools

Some shared inbox tools offer free tiers with limited features:

  • Limited to 1-2 shared inboxes
  • Limited number of team members
  • Basic features only (no automation or AI)
