Set Out of Office in the Outlook App

Setting OOO in Outlook Mobile (iPhone and Android)

The Outlook app for iOS and Android has a streamlined interface for setting your out of office message. The process is nearly identical on both platforms, so these instructions work regardless of your device.

Step 1: Open the Outlook App

Launch the Microsoft Outlook app on your phone. Make sure you are signed in to the email account you want to set the OOO message for. If you have multiple accounts, you will select the right one in the next steps.

Step 2: Navigate to Settings

Tap your profile icon or initials in the top left corner of the screen. Then tap the gear icon (Settings) at the bottom left of the sidebar that appears.

Step 3: Select Your Account

Under Mail accounts, tap the email account you want to set up automatic replies for. If you have multiple accounts in the app, make sure you select the correct one — each account has its own OOO settings.

Step 4: Find Automatic Replies

Scroll down in the account settings until you see Automatic Replies and tap it. This opens the auto-reply configuration screen where you can write and schedule your message.

Step 5: Enable and Configure

Toggle Automatic Replies to on. You will see options to:

  • Set a start date and end date for the auto-reply period
  • Write your auto-reply message in the text field
  • Choose whether to reply to external senders as well
  • Write a separate message for external contacts if needed

Step 6: Save Your Settings

Tap the checkmark or Save button in the top right corner. Your out of office message is now active. You will see a notification banner in the app confirming that automatic replies are turned on.

Limitations of the Outlook Mobile App

The mobile app is convenient for last-minute OOO setup, but it has some limitations compared to the Outlook desktop version:

  • Limited text formatting: The mobile editor supports basic plain text only — no bold, hyperlinks, or HTML formatting in your auto-reply message.
  • No rule creation: You cannot set up Outlook rules to forward urgent emails or sort messages into folders while you are away.
  • Simpler interface: Some versions only support one unified message instead of separate internal and external messages.
  • No calendar blocking: You cannot block your calendar from the auto-reply settings — you need to do that separately.

For full control over your out of office settings, set up your OOO message from the desktop or web version before you leave. Use the mobile app as a backup for last-minute changes or when you forgot to set it up at your desk.

Troubleshooting Outlook Mobile OOO

Automatic Replies Option Is Missing

If you do not see the Automatic Replies option in your account settings, your account type may not support it through the mobile app. This commonly happens with personal Outlook.com accounts or older Exchange configurations. Try setting it up through the Outlook web interface at outlook.office.com instead.

OOO Message Not Sending to Recipients

If your auto-reply is enabled but recipients are not receiving it, check these common issues:

  • Verify the date range includes today's date — a wrong start date is the most common cause
  • Check that you selected the correct email account if you have multiple accounts
  • Ensure external replies are enabled if you are testing from a non-organization email address
  • Try toggling off and on the automatic replies setting and saving again

Syncing Between Mobile and Desktop

OOO settings sync across all Outlook platforms when using a Microsoft 365 or Exchange account. A message set on mobile will appear on desktop and vice versa. However, personal Outlook.com accounts may have a slight delay in syncing across platforms.

Tips for Mobile OOO Setup

Draft Your Message in Notes First

Typing a polished OOO message on a small phone screen is frustrating and error-prone. Draft your message in your phone's Notes app first, proofread it carefully, then copy and paste it into the Outlook auto-reply text field. This prevents typos in your professional auto-reply.

Set a Calendar Reminder to Turn It Off

If you set an end date, Outlook will handle deactivation automatically. But if you did not set one or are unsure, create a calendar reminder for your return date to manually disable the auto-reply. Nothing looks worse than a stale OOO message running days after you are back.

Keep the Mobile Message Simple

Since you cannot use rich text formatting on mobile, keep your message short, clear, and well-structured using plain text.
