How to Set Out of Office in Gmail

Gmail's vacation responder is the built-in out of office feature for all Google email accounts. Whether you use a personal Gmail address or Google Workspace for business, this guide walks you through setting up, customizing, and optimizing your Gmail auto-reply.

Setting Up Gmail Vacation Responder

Gmail calls its out of office feature the "Vacation Responder." Despite the casual name, you can use it for any type of absence — business trips, conferences, medical leave, or actual vacations. Here is how to enable it.

Step 1: Open Gmail Settings

Click the gear icon in the top right corner of Gmail. Select See all settings from the quick settings dropdown panel.

Step 2: Find Vacation Responder

Stay on the General tab and scroll down until you see Vacation responder near the bottom of the page. This is where all the OOO settings live in Gmail.

Step 3: Enable and Set Dates

Select Vacation responder on. Set your First day (the start date of your absence). Optionally set a Last day — Gmail will automatically turn off the responder on this date. We strongly recommend setting an end date to avoid sending stale auto-replies after you return.

Step 4: Write Your Subject and Message

Enter a Subject for your auto-reply email (e.g., "Out of Office - Back February 18"). Write your out of office message in the body. Gmail's editor supports basic formatting including bold, italic, hyperlinks, and bullet lists.

Step 5: Choose Your Audience

Check or uncheck Only send a response to people in my Contacts. When checked, only people in your Google Contacts receive the auto-reply. When unchecked, everyone who emails you gets the response. For business use, leaving it unchecked is usually best.

Step 6: Save Changes

Click Save Changes at the bottom of the page. Gmail will show a yellow banner at the top confirming your vacation responder is active. You are done and ready to disconnect.

How Gmail Vacation Responder Behaves

Understanding Gmail's auto-reply behavior helps you set it up correctly and avoid surprises:

  • One response per sender every 4 days: Gmail only sends one auto-reply to each unique sender during a four-day window. If the same person emails you three times in one day, they receive only one response.
  • Skips spam and mailing lists: Auto-replies are not sent to messages identified as spam or to mailing list/newsletter messages. This prevents your OOO from being sent to hundreds of irrelevant addresses.
  • No internal/external split (personal): Unlike Outlook, personal Gmail does not support separate messages for internal and external contacts. Google Workspace accounts do support this feature.
  • Rich text support: You can format your message with bold, italic, links, and bullet points for a professional appearance.

Google Workspace (formerly G Suite) accounts have additional out of office features compared to personal Gmail:

Domain-Specific Replies

Workspace accounts can send different messages to people within your organization versus external contacts. Check the option Only send a response to people in my organization to create a more casual internal message and a formal external one.

Admin Controls

Google Workspace administrators can set policies for vacation responders, including maximum duration and required content. If your settings seem limited, check with your IT admin about organizational policies that may be affecting your options.

Calendar Integration

Workspace accounts integrate vacation responder status with Google Calendar. Your calendar can show "Out of Office" events that automatically decline new meeting invitations during your absence.

Setting Gmail OOO on Mobile

You can also set the vacation responder from the Gmail mobile app on both iPhone and Android:

  1. Open the Gmail app and tap the hamburger menu (three horizontal lines) in the top left.
  2. Scroll down and tap Settings.
  3. Select your email account from the list.
  4. Tap Vacation responder.
  5. Toggle it on, set your dates, and write your message.
  6. Tap Done or Save.

Combine with Gmail Filters
