How to Change Your Email Signature on iPhone

Setup guide for Mail, Gmail, and Outlook on iOS

Every email you send from your iPhone includes a signature — by default, it is 'Sent from my iPhone.' That default tells recipients you did not care enough to customize it. This guide shows you how to set up a professional signature in every major iPhone email app.

Apple Mail (Built-In Mail App)

  1. Open Settings on your iPhone.
  2. Scroll down and tap Mail.
  3. Tap Signature.
  4. Choose All Accounts (same signature everywhere) or Per Account (different signatures for each email).
  5. Type your new signature.
  6. Tap Back — it saves automatically.

Limitation: Apple Mail on iPhone only supports plain text signatures. You cannot add images, links, or formatting directly. For a rich HTML signature, see the workaround below.

HTML Signature Workaround for Apple Mail

  1. Create your HTML signature on a computer using a signature generator or email client.
  2. Email the HTML signature to yourself.
  3. Open the email on your iPhone and select all the signature content.
  4. Copy it.
  5. Go to Settings → Mail → Signature and paste the rich content.
  6. The formatting, images, and links should be preserved.

Gmail App on iPhone

  1. Open the Gmail app.
  2. Tap the hamburger menu (☰) → Settings.
  3. Select your email account.
  4. Tap Signature settings.
  5. Toggle Mobile Signature on.
  6. Type your signature and tap Done.

Note: Gmail mobile signatures are separate from your desktop Gmail signature. The mobile signature is plain text only. For a rich signature, set it up via Gmail on desktop.

Outlook App on iPhone

  1. Open the Outlook app.
  2. Tap your profile icon (top left) → gear icon.
  3. Under Mail, tap Signature.
  4. Edit or replace the default signature.
  5. Tap the checkmark to save.

Like Gmail, Outlook mobile only supports plain text signatures. For a rich signature, configure it via Outlook on desktop.

Tips for iPhone Email Signatures

  • Remove "Sent from my iPhone": This is the default Apple Mail signature. Delete it and replace with something professional.
  • Keep it short: Mobile signatures should be 2-3 lines maximum. Screen space is limited.
  • Use per-account signatures: Set different signatures for work and personal email accounts.
  • Test your signature: Send a test email to yourself and check how it looks.
  • Consider a shorter mobile version: Your full desktop signature may be too long for mobile. Create a condensed version.

Common iPhone Signature Issues

Signature Keeps Resetting

This can happen after iOS updates. Check Settings → Mail → Signature after each major update to make sure your signature is still there.

HTML Signature Lost Formatting

iOS updates can sometimes strip HTML from pasted signatures. You may need to re-paste the HTML signature after updates.
