Email filters are the foundation of inbox automation. They apply actions automatically based on criteria you define—sorting, labeling, archiving, or forwarding without manual intervention. This guide shows you how to build filters that actually work.
What Email Filters Can Do
Filters trigger on incoming email based on conditions (sender, subject, keywords, etc.) and apply actions automatically:
- Skip inbox: Route to label/folder without cluttering inbox
- Apply labels/categories: Automatic classification
- Star/flag: Mark important emails
- Forward: Route copies to other addresses
- Delete: Immediately trash unwanted mail
- Mark read: Skip notifications for low-priority items
Gmail Filters
Creating Gmail Filters
Access via Settings → Filters and Blocked Addresses → Create New Filter, or search and click 'Create filter' from search dropdown.
Gmail Filter Conditions
- From: Sender email or domain
- To: Recipient address (useful for aliases)
- Subject: Words in subject line
- Has the words: Keywords anywhere in email
- Doesn't have: Exclusion criteria
- Size: Email size thresholds
- Has attachment: Emails with files

Filter Best Practices
Start Conservative
Test filters on a few emails before applying broadly. It's better to miss some emails than to misfile important ones.
Use Labels, Not Delete
Unless you're certain, route to labels rather than deleting. You can review filtered emails periodically and adjust filters based on what you find.
Review Periodically
Filters can become outdated. Quarterly, review your filters. Delete obsolete ones. Update conditions as your email patterns change.
Don't Over-Filter
If everything is filtered, you might miss important emails that don't match your rules. Keep some email flowing to inbox for manual review.
Beyond Basic Filters: AI
